LARGE GROUP VOLUNTEER SIGN-UP PROCESS

There is a 5 step process for becoming a large group, of 5 or more people, serving at the Downtown Hope Center. One significant difference between the individual/small group process is the need for a group leader.

FOR GROUP LEADERS

If you are interested in serving as the lead of a group of 5 or more people, please fill-out the large group volunteer request form in Step #2 below, to trigger the phone call with the volunteer coordinator to confirm your group's service day/time prior to each group member filling-out their volunteer application form.  

Every adult group member, age 18 and over, needs to fill out an application form, and be subject to a background check.  If there are minor children serving (age 5 and over, or babe in pack), their parent/guardian is required to attend and serve alongside their children in the service activity.  There is a maximum of 4 children per adult.

 

Larger groups may need to split up, whether help in different areas at the same time or serving on separate days, and scheduling of day/time in this case will need to be agreed upon prior to submitting any volunteer application forms.  Also, each person serving will fill out a separate form, and all people serving need to be sure to state the group with which they are serving.

PROCESS OVERVIEW

Your group needs to choose a group leader.  This leader will be the poin-of-contact for DHC and will be responsible for organizing the group.

1. CHOOSE GROUP LEADER

The group leader fills out the large group request form below.

2. GROUP REQUEST

The volunteer coordinator will call the group leader to confirm your group's availability, service preferences

and our current needs and dates will be discussed/decided upon.

3. PHONE CALL

Each group member age 18 and over is to fill-out and submit their own volunteer application

form.  See Step #4 BelowThe form is located below.

4. GROUP MEMBERS APPLY

Background check is performed.  By filling out and submitting the volunteer application form, you are authorizing a background check.

The group leader will be notified if there is an issue.

5. BACKGROUND CHECK

1. CHOOSE GROUP LEADER

A group leader needs to be chosen for your group.  This person will coordinate with the DHC and keep your group organized and be the point-of-contact for your group.  This person will have additional responsibilities as outlined in the steps below.

2. LARGE GROUP VOLUNTEER REQUEST 

The group leader fills out the request form below after gathering the relevant group data including number of volunteers (5 or more), number and ages of children serving and available dates as well as areas in which the group is willing to serve.

FYI, large groups are subject to being split, helping multiple areas, and/or multiple days.  This topic is typically part of the phone call conversation in Step #3.

3. PHONE CALL 

After receiving the Large Group Request Form outlined in Step #2, the volunteer coordinator will call the group leader to go over what they input on the form, confirm it as well as ask any relevant questions in an effort to match up the group's availability and our needs.  Typically, this phone call is when the date, times and what they people will be working on during their time volunteering will be confirmed, as well as the deadline for all the group volunteers to submit their volunteer application form.

It is expected that after this phone call, the group leader will then communicate the agreed upon date to the group members can fill out both the date/time what area they are serving in and what Group Name is on the Application Form in Step #4.

4. LARGE GROUP VOLUNTEERS APPLY

Each group member, age 18 and over, fills out their own volunteer application with the agreed upon date, time and area of service. 

 

The group leader ensures all group members fill out the volunteer application form in adequate time for the background checks to occur in advance. 

5. BACKGROUND CHECK 

After the group members fill-out and submit the volunteer application form, the background checks will occur.  Any issues with background checks will be communicated to the group leader by the volunteer coordinator.
